Job Description
The Executive Assistant, Investment Services will be pivotal in providing high-quality administrative and operational support to the Investment Services Group at GEM. This role encompasses coordinating investment and investor reporting, managing CRM and investment data entry, and facilitating cross-functional projects and communication to ensure seamless operations. Key Responsibilities
The position responsibilities include, but are not limited to, the following:
Accurately and efficiently upload, maintain, and organize reporting, documentation, and firm-related data.
Maintain internal systems (such as CRMs and workflow tools) to ensure documents and information are properly structured, tagged, and easily accessible.
Assist in tracking and responding to external client inquiries when senior team members are unavailable, ensuring a high level of service.
Support document execution and facilitate seamless client onboarding and offboarding processes.
Organize logistics and materials for team meetings, including preparing agendas, recording minutes, and distributing follow-ups.
Gather and distribute relevant materials to equip team members for client and external stakeholder engagements.
Efficiently coordinate professional calendars, scheduling in-person and virtual meetings.
Arrange domestic and international travel while managing travel-related account information, including upgrades and frequent flyer accounts for Senior Team Members.
Prepare and submit expense reports in a timely and accurate manner for Senior Team Members.
Requirements

2-5 years of experience in financial services, preferably in client service administrative or operational role.
Strong professional demeanor and communication skills, both internally and externally with clients.
Highly organized with a strong attention to detail and ability to prioritize tasks in a fast-paced environment.
Demonstrated ability to manage workflows, enhance processes, and collaborate across teams.
